Family Life & tools: step-by-step help

Choose a task below. Each guide explains where to start, what to enter and how to keep your work.

Family Life: where to go and how to start

Start here: select Family Life in the main menu, then check Choose your state. The toolkit and games links use that state.

  1. Choose Learning & Family Toolkit → Open the toolkit for lessons, progress records, schedules and planning tools. You do not need an IEP for every tool.
  2. Use the toolkit’s section links: Lesson Plan Creator, Learning & progress, Everyday routines, or Family & school support.
  3. On a tool card, choose View example to see a sample or Open tool → to begin your own work. Use the close button to return to the toolkit.
  4. Choose Open My Family Planner → for provider contacts, your child’s profile, school-meeting notes and caregiver handoffs.

The other Family Life cards open Family Recipes, Games/News for Kids, and Events & Community. Recipes lead to publisher collections; events let you browse by state and county.

Try one small task: open Everyday routines → Visual daily schedule and add “Breakfast,” “Reading,” and “Break.” Arrange the cards, then save and print the routine using the steps below.

Toolkit basics: open, edit and save

Open Learning & Family Toolkit. Choose a section link, then Open tool → on the card you want. In the parent-tool window, the navigation buttons switch between the tracker, portfolio, schedule, materials, calendar and school comparisons.

Keep your work: adding an entry updates the current workspace. Before leaving, open Save, backup & privacy and select Save on this device or Download backup. Save again after editing. My Family Planner and the school-year planner have their own save controls, described below.

Edit before exporting: use Edit entry or Edit event for saved items. Where offered, choose Edit output, change the preview text, then Done editing. Apply changes and save before printing or downloading.

Create, edit and reuse a lesson

Open Lesson Plan Creator in the toolkit. Choose one starting method:

  • Upload your IEP: create a quick lesson from a readable IEP.
  • Customizable Lesson: review the plan and adjust goals, dates, supports and notes.
  • Plan Manually: enter your own goal and learning needs without an IEP.
  1. For an upload, choose a readable PDF, DOCX or TXT file up to 12 MB. Image-only scans need a version with selectable text.
  2. Choose the available plan length and select Generate / Update. Review the activities and required supports; use Edit activity for corrections.
  3. Select Save plan or an offered autosave option to keep the plan. Use Open saved lesson plans on the toolkit page to return later. Download a copy you want to keep.
  4. Select Use in Parent tools to copy the plan’s activities and goals into the toolkit. You can then build linked printables, a schedule or calendar entries. Save the toolkit separately.

Changing the plan: Save or download your preferred version before choosing Generate different lessons. A new IEP starts a fresh source session; existing saved plans stay separate. Use Customize design beside Download when you want to change the printed style.

Progress & goals tracker
  1. Open Learning & progress → Progress & goals tracker. Choose Add a goal manually, or bring goals in with Use in Parent tools from a lesson.
  2. Choose the Observation date. Under a goal, write what happened, such as “Matched three picture pairs with one reminder.”
  3. Select Independently, With support, or Needs more practice. Add another observation after later practice.
  4. Open Save, backup & privacy and save. These notes record practice; they do not automatically establish mastery.
Build a homeschool portfolio
  1. Open Homeschool portfolio builder. Choose a date and entry type: completed lesson, reading, work sample or parent note.
  2. Enter a title and what your child did. If copied lessons are available, use Fill from a lesson. Record completed work only after it was actually tried.
  3. Optionally attach a document or image up to 3 MB, then select Add to portfolio. The attachment is not kept across visits until you save or download a backup.
  4. Use Edit entry to correct it. Use Print / save PDF for the portfolio and Save on this device for future editing.

Keep original attachments separately. Printed portfolios list document filenames; include the actual files separately when sharing.

Create a parent learning progress report
  1. First save actual completed lessons, school-year work or dated observations. Open Parent learning progress record.
  2. Enter the child’s name, who prepared the report, and the beginning and ending dates. Choose Refresh learning records if recent work is missing.
  3. Expand 1. Choose this child’s learning records and select the right records. Check each selection; toolkit entries do not have a child name. Only selected records within the dates are included.
  4. Optionally add accomplishments and next steps, then choose Create / update report. Review the preview and correct it before saving, printing or downloading.

No records yet? Return to the relevant lesson, tracker or school-year workspace and save completed work first. Creating a lesson alone does not mark it complete.

Set up and return to a school-year plan
  1. Open School-year planning organizer. Use New child / year for a separate workspace.
  2. Enter the year name, first learning date, learning weekdays and activity length. Add interests, priorities and access supports. Choose Add IEP or other documents if needed.
  3. Select Create 180-day plan. Use My plan for the schedule, Child & sources for documents, Care & outings for appointments, and Progress & records for learning records.
  4. Adjust activities and record actual completed work. Choose Save on this device, enable the optional automatic-save checkbox, or select Download backup.
  5. On a later visit, use Open a saved school year. Keep a separate child/year workspace for each learner.

The 180-day preset is a planning aid; it does not determine your state’s education requirements.

Make a visual daily schedule
  1. Open Everyday routines → Visual daily schedule.
  2. Enter an Activity or routine, choose its Picture, and select Add routine card. Repeat for each activity and break.
  3. Use Move up, Move down and Edit label to adjust the order and wording. The first two cards become the First / then board.
  4. Choose Print / save PDF for the board and routine. Open Save, backup & privacy to save an editable copy.

With copied lesson activities, Build routine from this day gives you a starting routine to adjust.

Create printable learning materials
  1. Create a lesson first and choose Use in Parent tools. Then open Printable learning materials.
  2. Choose the lesson and material type. For cards, review suggested targets or enter one word, number or shape per line.
  3. Select Create printable. Use Edit output for corrections and review the words, instructions and supports.
  4. Choose Print / save PDF for a copy. Save the toolkit to keep the printable for later.

No lesson to choose? Return to your generated plan and select Use in Parent tools, then reopen this tool.

Add appointments to the calendar
  1. Open Learning & therapy calendar. In Add an event, enter a title, date and type. Leave time blank for a flexible day.
  2. Select Add event. For example, add “Speech appointment” as Therapy, or “Reading together” as Home practice.
  3. Use Previous week, Next week, or Show week containing to find a date. Choose Edit event to change an entry.
  4. Use Print / save PDF for the displayed week, then Save on this device to keep the calendar.

If lesson days were copied into the toolkit, Add lesson days to calendar adds their dates as untimed entries.

My Family Planner: contacts and follow-ups
  1. Open My Family Planner. Enter the child’s name or initials, or choose Open saved child workspace. Use New child for someone else.
  2. Choose Contacts & next steps. For a directory listing you already hearted, choose it under Bring in a saved county resource and select Add selected resource. Otherwise open Add a provider or resource manually.
  3. Keep confirmed details, costs, applications and follow-up notes with the contact. Update its status as you move from researching to contacted, applied, waitlisted or appointment booked. Compare up to three using your own notes.
  4. Select Save this child’s organizer. Use Print this tool / PDF or Download this tool for the current tool’s output.

No saved resources? Heart a listing in the county directory, then reopen the planner. Saving a directory favorite and saving the child’s organizer are separate actions.

My Family Planner: profile, school meetings and caregiver sheets

Open My Family Planner and choose the child’s workspace first. Use the five buttons across the top to switch sections.

Child profile

  1. Choose Child profile. Add strengths, interests, communication, access supports and what helps with learning or transitions.
  2. Review the live profile preview and keep only details you want to share. Save the organizer, then print or download this tool.

IEP / 504

  1. Choose IEP / 504. Enter the plan type, team contact and dates confirmed with your school. Add questions before the meeting.
  2. Use Add a document entry to note which records you need and where they are kept. Use Add a follow-up for next actions.
  3. After the meeting, update agreed next steps and save. This tool does not calculate legal deadlines.

Question guides

  1. Choose Question guides, then select the professional under Who are you contacting?
  2. Choose Edit output to tailor the questions or Add a note to record answers. Save the organizer; each guide is kept separately for that child.
  3. Use Print question guide / PDF before an appointment.

Caregiver & emergency

  1. Choose Caregiver & emergency. Add contacts, routines, communication needs, backup caregiver details and the location of current care instructions. Copy only confirmed medical information.
  2. Review the sheet with the caregiver and enter the review date. Choose whether to include communication and access preferences from the child profile.
  3. Save the organizer. Use Print this tool / PDF for the handoff sheet or Print emergency summary / PDF for the shorter summary. These exports contain the sheet, not the whole organizer.
Compare schools side by side
  1. In My Family Planner’s Contacts & next steps section, open Detailed school comparisons. You can also use School comparison tool in the parent-tool window.
  2. Filter by county and school type. Choose a listed school and check its official information, or enter a school yourself.
  3. Add confirmed supports, access, costs, transportation and questions. Leave unknown fields blank, then select Add school.
  4. Repeat for other schools, up to eight. On a phone, swipe across the comparison table. Use Print / save PDF for a copy and Save on this device to return later.

Other help

Refine your results

Choose your county and use the available filters to narrow results. Try fewer words or a broader service if nothing appears. Select a listing to learn more; use its heart button to save it in this browser.

Schools & equipment

Browse schools and homeschool resources or equipment suppliers and reuse programs. Contact the organization to confirm requirements and availability.

Save your work

Use the tool’s Save button or offered autosave option. Saved work stays in this browser on this device; it does not automatically sync. Download a backup before clearing browser data. See Privacy & saved data for details.

Podcasts & family activities

Explore Podcasts and Family Life. Open a show’s player or platform link, or choose a family activity. External websites have their own privacy practices.

Need help?

Try fewer search words, check your county, or remove filters. To report a broken link or suggest a resource, use Report an issue. Include the page address and public details, not private health information.

Play games

Open Games/News for Kids, choose a game and a comfortable learning level, then follow the on-screen steps. Use the sound, hints and pause controls as needed. Saving play summaries is optional.

Create photo art

Open Photo & Art Studio from Games. Choose a collection photo or a file from your device, adjust the style and frame, then download your artwork. Download before closing the tab; artwork is not automatically saved.

Protect saved records

In Parent tools, choose Protect saved records. Set a password and keep the recovery code somewhere private. Download a protected backup and lock each open tab when finished. If both password and recovery code are lost, protected records cannot be unlocked. Ordinary downloads are not encrypted by this setting.

YOUR EXPERIENCE MATTERS

Share a suggestion

Describe a resource to add or correct, with a public source link when possible. Copy or download your message, then email it to contact@specialneedsbystate.com. Nothing is sent automatically. Please leave out private health information.

How did the lesson work?

No contact details are requested. Closing this window clears the form; downloaded or copied text stays under your control.

Your information, your choice.

Document privacy & security

How your documents are handled. These tools process IEPs, medical documents, and family records in your browser. They do not upload document contents to our servers or send them to AI services. Sensitive records are saved across visits only when you choose Save or Autosave. Optional password protection encrypts those saved private records on this device; it is off until you enable it.

Security has limits. No website, browser, device, or encryption can guarantee complete security. Hacking, malware, unsafe browser extensions, software flaws, or a compromised website or device can still lead to unauthorized access or data loss. Encryption does not protect information displayed or accessible in an unlocked tab from someone using that device or from malicious software.

Shared browsers and devices. Sharing a browser profile, device, password, or recovery code increases the risk of someone else accessing unprotected saves, open or unlocked records, and downloaded files. Use a trusted private device and a separate browser profile where possible. Choose a strong, unique password, keep it and your recovery code private, keep your browser and device updated, and lock every open site tab when finished.

Downloads and backups. Ordinary PDFs, printouts, tool exports, and older unprotected backups are not encrypted by this setting. Choose Download protected backup for an encrypted copy, and store it safely. If you forget your password, your saved recovery code lets you set a new one. If both are lost, we cannot unlock the encrypted records. Older saved copies require the original password until you add a recovery code. Clearing browser data can delete saved records, so keep important protected backups.

Saved on this device

Your saved records stay in the browser profile you are using on this device. This version has no online document storage or automatic backup to a website account.

Storage space: browsers typically allow about 5 MB for this site’s local saves, shared across all its tools and children—not 5 MB per document. Browser settings can reduce or block saving. Photos and extracted document text use more space, so there is no fixed number of plans or documents you can save.

Keep downloaded backups of important records. Clearing browser data can remove saved work, and private browsing usually removes it when the private session ends. If a save fails, keep the work open and download a copy.

About browser storage limits ↗

This website has no accounts, payment processing, advertising trackers, or analytics. The lesson planner, parent tools, and games run in your browser without paid AI services. Documents and entered family records are not sent to an AI provider. Contact messages, listing suggestions and corrections that you submit are sent to the website and saved in the site owner’s private inbox. Optional contact details are included; messages may also be emailed to the owner where delivery is enabled. Spam protection processes technical connection information. Do not submit medical records, passwords or identifying details about a child. Local planning notes and downloaded feedback drafts are separate and are not submitted automatically. The hosting provider may keep standard access logs, such as IP addresses and page requests.

The sample lesson is a static PDF with fictional learner information. All tools are free to create, edit, save, print, and download. Samples do not use or change your family records. No account, payment details, or subscription is needed.

Saved resources use local browser storage. Plan drafts are stored only when you explicitly save them or enable autosave for that plan. Saved lesson plans include activity edits, generated IEP goal excerpts, recognized skill and access summaries, supports, and checkmarks, but not the uploaded document. Saved output never becomes a source for a newly uploaded IEP. Without optional password protection, other people using this browser profile may read saved records. Downloads and printed copies are your responsibility.

IEP files are read locally in the browser. The imported document is not automatically stored or sent to a server. Selecting “Use in Parent tools” copies lesson activities, goal excerpts, and supports into the toolkit for this tab. Saving the toolkit explicitly stores that copy, your notes, calendar, comparisons, and any work-sample images or attached documents in this browser’s storage. Toolkit backups contain that same information. Replacing the IEP, closing the upload window, or choosing Clear cancels document reading and releases the builder’s references to the document, source goals, generated schedule, and temporary activity history; browser memory is not a secure-erasure guarantee. Downloaded lesson files may include source goal text.

For uploaded IEPs, used-activity fingerprints stay only in the current builder session. Daily and weekly plans from that IEP share repeat protection until you replace or clear the IEP, close the builder, or refresh the page. Every upload starts a fresh session, even if you select the same file again. Manual planning has a separate history of SHA-256 activity fingerprints saved on this device; it does not affect uploaded IEPs. The history does not contain child names, IEP text, or lesson text. Reset manual history for another learner. If storage is blocked, manual history lasts only in the current tab. Copies you explicitly save to Parent tools or download are separate and never used to generate lessons from a new IEP.

Annual progress reports use only the selected learning records and date range. Reports can include child and parent names, completed activities, goal excerpts, observations, parent notes, and work samples if selected. Saved reports are local copies covered by optional password protection; exports are not sent anywhere automatically. Delete saved reports in the report tool or with the site’s saved-data control. The School Year Planner has separate workspaces for each child and year. It keeps its sources and records in this tab until you explicitly save, enable automatic saving, or download a backup. Saved years and backups include extracted IEP, educational, medical, and therapy text, notes, and completed-day records; optional password protection covers these saved records. Opening another year never feeds its documents into Quick Lesson. Replacing the current IEP updates unfinished goal practice, while completed records remain. Use New child / year for another learner. Delete a saved year in its privacy controls, or delete all saved learning information below.

The family support organizer saves separate child workspaces only when you choose Save. Workspaces and backups can contain names, contact details, access needs, provider notes, school plan details, document locations, and follow-up dates. Uploaded documents are not stored by this organizer. Printing or downloading a tool includes that tool’s records; a backup includes the entire selected child workspace. Information is not sent to providers or schools automatically. Saved copies can be password-protected and can be removed with the site’s saved-data control.

External resource links open other websites with their own privacy policies. This website does not send your planning form contents to those sites.

Games keep current answers and custom practice words in their game tab. If you turn on Save play summaries, finishing saves the game, date, level, challenge counts, attempts, hint counts, and play mode in this browser, without child names or answers. The latest 30 sessions per game are kept. Delete them in Games or with the saved-data control below. Your sound on/off choice is remembered in this browser for this state’s games. Game settings such as level and theme appear in the game’s address; custom words do not. Games requires no account and does not send play records or reading text to a server. Natural voice software may be cached by this browser; these public files contain no child records or generated readings and use browser cache space separate from saved learning records.

Delete saved data from this browser

This removes Special Needs by State’s saved resources, drafts, lessons, toolkit records, school years, annual reports, family organizers, game play summaries, and activity history only from this browser profile on this device. If a family shares this browser profile, it removes the saved records for every child or family using that profile.

It does not delete the website or its resource listings, records in other browser profiles or devices, or other visitors’ data. Original files, downloaded copies, and work currently open in this tab remain. Download a backup before deleting anything you want to keep.

Saved records for Indiana use separate storage keys from the other state sites. This page’s delete command affects this state’s records. Your browser’s Clear site data command may erase records for every state on this domain.
